Administrative Executive

We are looking for a passionate, highly organised and motivated Administrative Assistant to join us at Caritas Agape Village in Toa Payoh. You will play a vital role in ensuring the smooth administrative operation of our organisation. Your key responsibilities will include:

Roles and Responsibilities

Meeting Support

  • Taking accurate minutes during board and committee meetings.
  • Managing RSVPs for meetings and events.


Facilities Booking Management

  • Handling facilities booking and responding to inquiries.
  • Coordinating with internal and external stakeholders to ensure seamless use of our facilities.


Event Management:

  • Plan, coordinate, and execute events from concept to completion, ensuring seamless delivery including logistics, budgets, timelines, and vendor negotiations, ensuring all details are meticulously handled.
  • Oversee event communication, promotion, and staff management, ensuring successful execution and post-event evaluation.


Administrative Support:

  • Providing overall administrative support including attending to walk-in inquiries
  • Assisting with various administrative tasks as needed to support the organization initiatives, projects and events.
  • Compile and consolidate monthly data for management reporting.


Requirements

  • GCE A level or its equivalent
  • Minimum of 5 years of experience in an administrative role
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to interact effectively with stakeholders at all levels, whether senior executives or working-level staff
  • Ability to take detailed and accurate minutes of meetings.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Prior experience in an administrative role is preferred.

Accounts Executive

You will be responsible for managing Finance functions which include:


Responsibilities

  • Manage Caritas Singapore donations in all physical and online payment portals.
  • Monthly billing to customers and contact for collection.
  • Perform weekly bank reconciliation.
  • Assist in administering Caritas Singapore and preparing vendors payment.
  • Prepare audit schedules and AR aging trial balance.
  • Perform monthly donation reconciliation for adherence to corporate governance and compliance guidelines to Commissioner of Charities.
  • Manage Caritas fixed assets register.
  • Update GIRO list and prepare monthly GIRO collection.
  • Ensure timeliness of month-end accounts closing and preparation of finance schedules.
  • Assist in ad hoc duties where necessary.

Requirements

Minimum Diploma in Accounting or equivalent professional qualification.

  • Minimum 5 years relevant experience.
  • Meticulous, adaptable and proficient in MS Office (Excel, Word, PowerPoint).
  • Excellent interpersonal skills to communicate effectively across the organization.
  • Experience in social service sectors will be an added advantage.
  • Able to start work immediately or at short notice.

Operations and Building Services Technician

We are looking for a passionate candidate to join us in our operations at Caritas Agape Village in Toa Payoh in ensuring that all building maintenance tasks are effectively managed for the smooth and efficient functioning of the building.

You will be responsible for managing Finance functions which include:


Roles and Responsibilities 

  • Conduct routine building inspections to pinpoint maintenance and safety concerns.
  • Organise and carry out preventive and corrective repairs for plumbing, electrical, HVAC, and structural issues.
  • Maintain accurate records of maintenance activities, equipment inventory, and service contracts while managing schedules.
  • Address maintenance emergencies promptly to minimize operational disruptions.
  • Evaluate and present quotations for management approval, ensuring cost-effective solutions.

Requirements

Minimum Diploma in Accounting or equivalent professional qualification.

  • Diploma or equivalent in facilities & estate management.
  • Preferably, candidates should have a minimum of 2 years of relevant experience. However, new graduates in relevant disciplines are also encouraged to apply.
  • Good communication and interpersonal skills to interact with different levels of stakeholders.
  • Computer literate in MS office applications and ability to interpret as-built drawings and schematics for building and electrical services.
  • The position entails working on weekends/after office hours, with compensatory off-days during the work week.
